Personal CRM

A personal CRM you talk to

Most personal CRMs organise the contacts you already have. Rucksack keeps what those people told you — captured by voice, right after the conversation.

What is a personal CRM?

A personal CRM is a tool for managing your own relationships rather than a company’s customers. It holds who you know and what you know about them, and the contacts stay yours when you change jobs.

Business CRMs are organised around deals and pipelines. A personal CRM is organised around people: clients, collaborators, former colleagues, investors, friends. For the broader practice, see contact management.

What most personal CRMs do

The established tools solve the address-book half of the problem. They import contacts from email, calendar, LinkedIn and messaging apps, keep them up to date, and remind you to get back in touch. Dex and Mesh, formerly Clay do this well, and many people build their own in Notion.

What none of them can import is context: what someone told you over lunch. That still has to be typed in by hand — and that is the step that doesn’t happen.

What Rucksack does instead

Rucksack starts where the others stop. After a conversation you talk for half a minute. Rucksack transcribes it, recognises the people, places and organisations you mentioned, and files the facts under each of them. When a name could mean two people, it asks. Every fact links back to the recording.

The result is a page per person built from what you actually learned — not from what an inbox could see.

How Rucksack works, step by step

What it doesn’t do

  • No contact import or sync — people appear when you mention them.
  • No reminders to get back in touch.
  • No relationships between people yet.
  • No sharing, teams or integrations.

If those are what you need, choose one of the tools above. If what goes missing is what people tell you, that is what Rucksack is for. It is a closed beta — here is what that means.

Is a personal CRM worth it?

It is if relationships are part of how you earn a living — as a freelancer, a consultant or a founder — and if you will actually keep it up. The second condition is where most attempts end, which is why Rucksack is built around the thirty seconds after a conversation instead of a form.

Frequently asked questions

Is Rucksack a CRM?

It is a personal CRM in the sense that it keeps what you know about the people in your life and work. It is not a sales CRM: there are no deals, pipelines or team features.

How is a personal CRM different from a contacts app?

A contacts app holds contact data: names, numbers, addresses. A personal CRM also holds context — what you know about someone and when you learned it.

What does Rucksack cost?

Nothing during the closed beta, and there is no way to pay yet. Afterwards the plan is that Rucksack stays free to use and you pay a fee for usage. The details are not set.
